Minutes for the 2025 AGM

Alphamstone Village Hall

The meeting commenced at 10.00am, the Chair, Kathryn Parsons welcomed

everyone to the AGM which covers April 2024 to end of March 2025.

The secretary, Laura is unwell so the Chair covered her report.

Chairman’s Report

Well this was my first year as Chair and I admit that it has been a steep learning curve. I would like to say a huge thank you to my support team, the other trustees, Laura, Sue and Lynne who have had to put up with me as I have grappled to get on top of the work. 

My thanks as well to Ian, his first year as treasurer. 

As Ian has said the amount raised by events went up last year which we are very pleased about. Just a shame that the bills went up too! 

During the year we co-opted Nicola Waters on to the team and she worked to support Laura as secretary and also in creating our amazing new website. The previous one was old and very tired. The new one is in colour and filled with photos and details of upcoming events, so please take a look. We also now have an email which can be used for bookings. 

Nicola has decided not to stand as a trustee for this next year but I would like to extend our thanks to her for all the hard work she did with us in the last ten months. 

During the year we ran the usual regular events of the coffee mornings and the film club, each with a regular group of attendees. 

 On top of this we held our Fete, the Alphamstone History weekend, Games on the Green, Winter Warmer Supper, Christmas Craft Morning, Christmas Wreath Making and Big Breakfast. 

We also supported other charities with the Macmillan Coffee Morning and Chocolate for Christmas. 

We tried to get an exercise class up and running but unfortunately it had to stop due to lack of numbers. The location of our hall seems to be a disadvantage when trying to fill a regular class. 

I hope that we have run a range of events, something for everyone in our Village. But if you have any ideas or opinions on this then please say. 

All of these events take a lot of team effort and organising but our overall aim is to use this hall as much as we can for the good of our community and raise enough money to cover the running costs and extra to keep the building in good repair and make improvements when necessary. 

Secretary’s Report 

From the date of the last age in July 2024 AVH committee held 4 meetings in September 2024, January 2025, March 2025 and June 2025. 

During the re election of the committee at the 2024 AGM 

Kathryn Parsons was elected as chairman, 

Laura Richardson as secretary 

with Lynne Potter and Sue Gardener as other trustees. All with unanimous Committee approval. 

Ian Rutledge joined the team as a non trusteeTreasurer.  

During the year we also co opted Nicola Waters who joined us as secretary to help Laura and web designer. Nicola has decided to not continue with this role and will not be standing for election. 

Annual membership was renewed for the RCCE 

All legal requirements for fire safety, health and safety and safeguarding continue to operate, with renewal of documentation and insurance where appropriate. 

The 2025 fete committee comprised of Kathryn Parsons, Laura Richardson and Sue Gardener with much help from many other people. 

Any Questions 

Deirdre asked if there could be a games club which is a lovely idea but we need to find someone to run it.

All current trustees stood down. Willing to re-stand are Kathryn Parsons, as Chair, Sue Gardener, Lynne Potter and Laura Richardson, as secretary.
